Media Information from the Virginia Tourism Corporation

Travel Media/Content Creator Visit Travel Policy

TRAVEL MEDIA MUST PROVIDE:

  • At least 30 days notice in advance of a proposed visit, when possible. Certain dates may be restricted including peak travel times and holidays.
  • A completed Media Visit Request Form.
    • Links to any recently published stories.
    • Expected dates of coverage (priority will be given to media on assignment).
    • Freelancers must provide the name of publications to which you plan to submit articles.
  • After the visit, an original copy of published article(s) (print or website link) or video that resulted from your assisted visit. If media is unable to provide results from a sponsored press trip, VTC may be unable to assist with future visits.

CONTENT CREATOR MUST PROVIDE:

  • At least 30 days notice in advance of a proposed visit, when possible. Certain dates may be restricted including peak travel times and holidays.
  • A completed Content Creator Request Form.
    • Screen captures of your latest analytics or media kit.
  • After the visit, content creator must provide reporting metrics for social media posts or other content.

VIRGINIA TOURISM CORPORATION WILL PROVIDE:

  • Itinerary or Recommendation List: VTC will work to develop a customized itinerary or list of recommended attractions, cultural venues, and other points of interest based on interests and story ideas.
  • Lodging: VTC will work to provide complimentary rooms for those who have received pre-authorization. If not pre-authorized, then it is up to the individual property to decide if services will be complimentary or at a reduced media rate. Accommodations are subject to availability.
  • Air and Ground Transportation: To be handled on a case-by-case basis.
  • Certain meals: VTC can provide reimbursement of meal costs after the trip. To be handled on a case-by-case basis.
    • Gratuity: VTC can only reimburse tips up to 20%.
    • Reimbursements must be submitted to VTC within 30 days of trip.
  • Other Expenses will be handled on a case-by-case basis.

VTC will NOT cover:

    • Hotel incidentals (VTC covers room and taxes only).
    • Any expenses prior to or after the scheduled visit.
    • Any expenses incurred outside the Commonwealth of Virginia.
    • Any expenses for personal guests joining on visit. This includes spouses, children, and photographers (unless otherwise discussed). Any personal guests traveling will be responsible for their own travel expenses. Any needed additional crew will be handled on a case-by-case basis.
    • Any expenses labeled “On Your Own” on final itinerary. Meals and other expenses not complimentary during the visit will be clearly identified along with multiple recommendations.
